RESIDENTIAL HVAC SERVICE TECHNICIAN

Primary Job Function: This position requires the successful applicant to perform system diagnostics, repairs, routine preventative maintenance on residential & light commercial equipment.

Requirements: Valid NCDL required. Must be able to use HVAC industry tools. Must be able to pass background check and drug screening. Must be able to follow easy-to-use procedures and have a good work ethic, great attitude, and great customer service. High School degree or GED preferred.

Reports to: Service Manager

Pay: Top industry pay! $60,000.00 to $120,000 /year

CUSTOMER SERVICE REPRESENTATIVE/ DISPATCHER

Job Type: Full-time

Primary Job Function: Maintain the Service Technicians daily schedules and dispatch the technicians as service calls are completed. Schedule return trips with customers when parts are in. Maintain the on call schedule for service technicians. Maintain customer database with current information. Clear and concise communications with department managers, employees and company customers, including keeping customers appraised as to company schedule and requested lead-times. Provide accounting with maintenance contract billing information. Prepare service invoices and send out.

Daily Duties:
• Take incoming customer calls.
• Schedule and coordinate all service calls as calls are received.
• Create dispatch ticket for all service calls.
• Dispatch Service Technicians, one call at a time.
• Dispatch Service Technicians from home to first call.
• Debrief Service Technicians after completion of each call.
• Respond to all messages left overnight.
• Maintain the dispatch board / schedule.
• Forecast workload for 2 — 4 days out
• Contact customers with a “Parts Pending” status as parts are received for scheduling.
• Follow up on all pending and recommended work with customer utilizing the pending work log.
• Maintain the maintenance agreements, including billing, scheduling, and staging of materials, database information, customer hard files and renewals.
• Order parts for special orders.
• Update customer files as information is received from installation. (Extended warranties, equipment info, new customers, etc.)
• Maintain on call schedule, to include 1st on call and standby technician
• Maintain customer history files in database
• Prepare paperwork for all manufacture warranty parts
• Facilitate return of warranty parts
• Update service database from service ticket
• Maintain service invoice log
• Forward checks and payments to accounting.
• Happy calls / customer surveys.
• Other duties as assigned

Measures of Job Effectiveness:
• Degree to which unproductive labor or lost time is minimized
• Number of customer complaints due to scheduling.
• Number of return trips/call backs due to scheduling inefficiencies.
• Accuracy of customer history files.
• Filing of service orders.
• Accuracy of customer Maintenance Agreement files.
• Timeliness of billing information to accounting.
• Timeliness of warranty part processing.
• Follow up on pending or recommended work.

Required Qualifications:
• Advanced customer service skills.
• Ability to multi-task
• Organized
• Geographical knowledge of service area or map reading skills
• Knowledge of industry is recommended but not required
• Computer skills
• High school diploma or general education degree (GED)
• Two years related experience and/or training in customer service, dispatching or project management or equivalent combination of education and experience

Reports to: Service Manager

Pay: Average $620 / week

LEAD HVAC INSTALLATION MECHANIC

Job Type: Full-time

Primary Job Function: HVAC installation crew leader. Responsible for supervising an installation helper on job sites. Complete residential HVAC replacements and new system start-ups.

Requirements: Valid NCDL required. Must be able to lift 75lbs. Must be able to use HVAC industry tools. Must be able to pass background check and drug screening.

Reports to: Installation Manager

PARTS MANAGER

Job Type: Full-time

Primary Job Function: Responsible for the overall management of warehouse inventory including receiving and shipping of all project-based materials, tools and equipment. This role is cooperates with multiple personnel including appropriate customers, field personnel, vendors and office personnel.

Daily Duties:

  • Responsible for all installation inventory and service inventory
  • Works with Manager to coordinate ordering and accounting of project parts and supplies
  • Coordinates with supplier warehouse for parts ordering, availability, and delivery
  • Order parts for special orders
  • Analyze current inventory, spot-checking to ensure that actual inventory coincides with computerized inventory, checking on back orders, etc.
  • Maintains warehouse inventory in a clean, neat and orderly fashion
  • Responsible for the security of inventory and for analyzing the quality of parts
  • Arranges truck schedules – whether customer deliveries or inventory deliveries – to promote and expedite customer service
  • Manages and issues notifications to jobsites when material/tools have arrived and/or are ready to ship to site
  • Supports shop for equipment requests, material requests, day-to-day support
  • Maintain proper inventory levels
  • Verifies that all inventory materials entering warehouse are accurately received and placed into stock
  • Notifies Manager of any discrepancies to incoming shipments
  • Documents and forwards documentation to Manager concerning inventory items returned from customers for credit
  • Operate forklift to unload deliveries
  • Drive the company provided truck to deliver parts to technicians on the job and pick up parts from warehouses if needed and possibly help the technicians once on the job site (this could be unloading equipment/parts)
  • Coordinate with dispatchers to schedule return customer trips when parts are in
  • Follow up on all pending and recommended work with customers
  • Update customer files as information is received from installation (extended warranties, equipment info, etc.)
  • Prepare paperwork for all manufacture warranty parts processing
  • Facilitate return of warranty parts
  • Must maintain a broad knowledge of the manufacturers’ new and recent products.
  • Completes other duties assigned by Manager

Requirements:

  • HS diploma, or GED equivalent, is required. Related experience and/or advanced training or any equivalent combination of education and experience may be substituted
  • Experience in HVAC distribution, parts & supplies highly desirable
  • Experience in project-based warehousing, coordinating shipping and receiving
  • Must have a thorough insight into HVAC systems in general and must have a working knowledge of which parts are most needed for specific models
  • Must be capable of working independently, effectively managing time and work flow
  • Must hold a valid & clean drivers license
  • Must be able to properly use a forklift and other shop machines
  • Ability to coordinate many activities simultaneously and pay close attention to detail
  • Sense of urgency and responsibility are a must
  • Must be able to operate computers, and other general office equipment
  • Must be physically able to lift equipment components, parts and machinery
  • Occasional standing bending, stooping and/or walking are required
